Privacy Policy
AtCollege Tutors is a trade name of United Capital LLC, a Virginia limited liability company based in Woodbridge, Virginia ("we," "us"). This policy explains what information we collect from families and tutors, how we use it, and the choices you have.
Information we collect
- Consultation requests from parents and guardians: your name, email, phone number, your student's first name, grade and subject, where you'd like sessions to happen, your ZIP code, and anything you choose to tell us in the notes.
- Tutor applications: name, contact details, college, year, major and GPA, subjects, availability, work authorization status, and a résumé or LinkedIn link if you provide one. Applications are collected through Google Forms.
- Payments: handled by our payment processor. We do not see or store full card or bank account numbers.
- Messages: emails, texts and call notes between us and families or tutors.
How we use it
- To respond to your request, schedule a consultation and match your student with a tutor.
- To schedule sessions, share progress updates and send monthly receipts.
- To review tutor applications and, for tutors we hire, run background checks and handle pay and tax forms.
- To keep our services safe and meet legal and tax obligations.
We do not sell or rent your personal information, and we don't use it for advertising.
Who we share it with
- Your student's tutor: only what they need to teach, such as your student's first name, grade, subject, goals and session times.
- Service providers that run parts of our business for us: website hosting and forms (Netlify), email and forms (Google), payments (Stripe or our bank), and, for tutors, a background check provider. They may use the information only to provide their service to us.
- When required by law, or to protect the safety of a student, family or tutor.
Children's information
Our services are for students, but we collect information about students from their parents or guardians, not from children directly. We ask for a student's first name only. If you believe a child under 13 has sent us information directly, email us and we will delete it.
How long we keep it
We keep consultation requests and family records while we work together and for up to 3 years after, or longer if needed for taxes or legal reasons. We keep tutor applications for up to 1 year if we don't hire the applicant. Teaching videos sent by tutor applicants are deleted once we make a decision.
Your choices
You can ask us to see, correct or delete your information, or to stop contacting you, at any time. Email AtCollege.Tutors@gmail.com and we'll respond within 30 days.
Security
We limit access to the people who need it and use reputable service providers. No method of sending or storing information is 100% secure, so please never send Social Security numbers, card numbers or passwords by email or through our forms.
Changes to this policy
If we change this policy, we'll update the date at the top of this page. Big changes will also be shared with current families by email.
